What is filing and indexing? What are the key differences between filing and indexing? Mention.

Answer

(a) Filing and Indexing

Filing is the process of arranging and storing documents, letters, vouchers and records in a systematic order in files or folders so that they can be located and retrieved easily whenever needed. It is the act of keeping records safe in a proper sequence (alphabetical, numerical, chronological or subject-wise).

Indexing is the process of preparing a guide, list or reference (such as a card index or register) that shows where a particular document or file is located. It acts as a key or pointer to the files, telling the reader the exact place of a document without searching the whole file room.

In short, filing is storing the records, while indexing is locating them.

(b) Key Differences between Filing and Indexing

S.N.FilingIndexing
1It is the process of arranging and keeping documents in files. It is the process of preparing a guide or list showing the location of files.
2It is the primary work of record keeping. It is a secondary or supporting work that follows filing.
3It is done inside the file, folder or cabinet. It is done outside the file, in a separate index (card, register or slip).
4It may exist without indexing. It cannot exist meaningfully without filing.
5Its main objective is safe storage and protection of documents. Its main objective is quick location and retrieval of documents.
6It is not a ready-made reference tool.It serves as a ready reference tool or key to the files.
7It saves space and protects records from loss and damage. It saves time in searching and locating records.

Thus, filing and indexing are complementary to each other — filing without indexing makes retrieval difficult, and indexing without filing has no meaning.
