Describe office package used in office operation.

Answer

Office Package Used in Office Operation (5 marks)

An office package is a collection of application software designed to carry out the day-to-day activities of an office, such as writing, calculating, presenting and keeping records. The most commonly used office package is Microsoft Office, and its main components used in office operation are described below:

1. Word Processor (MS Word): It is used for typing, editing, formatting, saving and printing text documents. In an office it is used to prepare letters, notices, reports, memos, circulars, contracts and other written records. It also allows tables, pictures and charts to be inserted in documents.

2. Spreadsheet (MS Excel): It is used for numerical calculation and analysis through rows and columns of cells. In an office it is used to prepare salary sheets, budgets, sales and purchase records, trial balances and financial statements. Formulas and functions make calculation fast and accurate, and charts help in presenting data.

3. Presentation (MS PowerPoint): It is used to prepare slides for meetings, seminars, training and business presentations. Text, pictures, charts, sound and animation can be added to make the presentation attractive and effective.

4. Database (MS Access): It is used to store and manage large amounts of related data in an organised way. In an office it is used to keep records of employees, customers, suppliers and stock, and to retrieve required information quickly through queries and reports.

5. Other Supporting Tools: MS Outlook is used for sending and receiving e-mails and managing schedules, while MS Publisher is used for designing brochures, visiting cards and advertisements.

Conclusion: Thus, an office package combines several application programs in one set. It saves time and cost, reduces manual work and errors, increases accuracy and efficiency, and helps in the smooth, systematic and paperless operation of an office.

What is data base? Explain any four advantages of ICT uses in office procedure and accounting.

Answer

(a) Database

A database is an organised collection of related data stored in a systematic way so that it can be easily accessed, managed, updated and retrieved. In accounting, a database keeps records of transactions, debtors, creditors, inventory and payroll in one central place, from which reports can be generated whenever needed.

(b) Four advantages of ICT in office procedure and accounting

  1. Speed and accuracy: Computers process large volumes of transactions and calculations in seconds with almost no arithmetic error. Ledger posting, trial balance and final accounts are prepared instantly, whereas manual work is slow and prone to mistakes.

  2. Easy storage and retrieval of records: A huge number of documents, vouchers and accounts can be stored in a small space on a hard disk or in the cloud. Any old record can be searched and retrieved within seconds, which is impossible with bulky manual files.

  3. Cost and time saving: ICT reduces the need for large clerical staff, registers, stationery and physical filing space. Work that took days manually is completed in hours, so the office saves both money and time.

  4. Effective communication and reporting: Data can be shared instantly through e-mail, networks and accounting software, and reports such as cash flow, profit and loss and balance sheet can be produced in the required format at any time. This helps management take quick and correct decisions.

Other advantages (any of these may also be given): better data security through passwords and backups, transparency and reliability of records, and easy preparation of payroll, VAT and tax returns.

Describe method of using computer in accounting.

Answer

Using a computer in accounting means recording, processing and reporting financial data with computer hardware and accounting software instead of manual books. The method follows these steps:

  1. Data collection and input: Source documents such as vouchers, bills and receipts are collected and their details are entered into the software.
  2. Recording: Transactions are recorded in the journal or voucher screen with the correct accounts and amounts.
  3. Posting and processing: The software automatically posts entries to the ledger and calculates balances.
  4. Preparing the trial balance and statements: Trial balance, cash book, income statement and balance sheet are generated automatically from the stored data.
  5. Storage, backup and security: Data is saved on disk or cloud, protected by passwords, and backed up regularly to avoid loss.

The method saves time, reduces errors and gives reports quickly, but it needs trained staff and a reliable power supply.

What is information technology? Write any four disadvantage of computer system and information technology.

Answer

Information technology (IT) is the use of computers, software, networks and telecommunication to collect, process, store, transmit and share information.

Four disadvantages of computer system and information technology:

  1. High cost: Buying, installing, upgrading and maintaining hardware and software is expensive.
  2. Unemployment: Automation reduces the need for manual workers and clerical staff.
  3. Security risks: Data can be lost or stolen through viruses, hacking and fraud.
  4. Dependence and breakdown: Work stops when there is a power failure, system crash or network problem, and trained staff are needed to run the system.

Explain any three advantages and two disadvantages of information technology.

Answer

Three advantages of information technology:

  1. Speed and efficiency: Work such as calculation, document preparation and data processing is done quickly and accurately.
  2. Fast communication: Email, internet and video calls connect people instantly at low cost.
  3. Easy storage and retrieval: Large amounts of information can be stored in small space and found quickly when needed.

Two disadvantages of information technology:

  1. High cost: Equipment, software, training and maintenance require large investment.
  2. Security and privacy risk: Data may be lost or stolen through viruses, hacking and misuse, and heavy dependence on the system affects work when it fails.

Write in brief about information technology systems used in Nepal's government accounting.

Answer

Information Technology Systems in Nepal's Government Accounting

The Financial Comptroller General Office (FCGO) under the Ministry of Finance leads the use of computer-based systems in government budgeting, payment and accounting, to make them faster, more accurate and more transparent. The main systems are:

1. Line Ministry Budget Information System (LMBIS): a web-based system in which ministries and departments prepare and submit their budget estimates, programmes and projects, which the Ministry of Finance consolidates into the annual budget.

2. Computerised Government Accounting System (CGAS): software used by spending units and treasury offices to record receipts and payments in double-entry form and to produce standard reports such as trial balance and expenditure statements, replacing manual registers.

3. Treasury Single Account (TSA): a system in which government receipts and payments are made through one consolidated treasury account, so the government cash position is known at all times and idle balances in many separate accounts are avoided.

4. Financial Management Information System (FMIS / PFMIS): an integrated platform linking budget, fund release, expenditure and reporting, allowing monitoring of spending against the released budget.

5. SuTRA (Sub-National Treasury Regulatory Application): a system used by provincial and local governments for budget, payment and accounting.

Importance: these systems reduce errors and delays, make reports timely and uniform, strengthen budget control and increase transparency. Weak internet connectivity and shortage of trained staff in remote areas remain challenges.
