Define cell referencing in Excel. Explain its types.

Answer

Cell referencing is the method of identifying a cell (or range of cells) in a formula by its address, such as A1 or B2:B10, so that the formula uses the value stored in that cell. When the cell value changes, the result of the formula updates automatically.

Types of cell reference:

  1. Relative reference: the usual form, such as A1. When the formula is copied to another cell, the reference changes according to the new position. Copying =A1+B1 from row 1 to row 2 gives =A2+B2.
  2. Absolute reference: written with dollar signs, such as $A$1. It stays fixed when the formula is copied, so it always points to the same cell. Useful for a constant such as a tax rate.
  3. Mixed reference: only one part is fixed, such as $A1 (column fixed, row changes) or A$1 (row fixed, column changes).

What are the features of a spreadsheet? Explain any five features.

Answer

A spreadsheet is application software that arranges data in rows and columns and performs calculations on it. Five main features:

  1. Worksheet grid: data is stored in cells identified by column letter and row number (such as B3), so each value is easy to locate and refer to.
  2. Formulas and functions: calculations are written with formulas (=A1+B1) or built-in functions such as SUM, AVERAGE, MAX and IF. Results update automatically when the data changes.
  3. Charts and graphs: numeric data can be shown as bar, line or pie charts for easy understanding and comparison.
  4. Sorting and filtering: records can be arranged in ascending or descending order, and only the rows matching a condition can be displayed.
  5. Formatting: fonts, colours, borders, number formats (currency, date, percentage) and cell alignment can be changed to make the sheet neat and readable.

Other features include multiple worksheets in one workbook, cell referencing, and printing options.

What is a spreadsheet? Explain some uses of a spreadsheet.

Answer

A spreadsheet is a computer application that organises data in a grid of rows and columns, where each intersection is a cell, and is used to enter, calculate, analyse and present numeric data. Examples are MS Excel and Google Sheets.

Uses of a spreadsheet

  • Accounting and budgeting: preparing budgets, ledgers, bills, invoices and balance sheets.
  • Result processing: calculating total, percentage, average and grade of students' marks.
  • Data analysis: sorting, filtering and summarising large sets of data to support decisions.
  • Charts and reports: converting figures into graphs for presentations and reports.
  • Record keeping: maintaining lists such as inventory, salary sheets and attendance.

Explain any two important features of Excel.

Answer

1. Formulas and functions: Excel can perform calculations using formulas such as =A2*B2 and built-in functions like SUM, AVERAGE, MAX, MIN and IF. When the input values change, the results are recalculated automatically, which saves time and avoids errors.

2. Charts: Excel can convert worksheet data into charts such as column, line and pie charts. A chart shows trends and comparisons visually, making the data easier to understand in reports and presentations.

Define MS-Word and explain any four tools used in it.

Answer

Definition: MS-Word is a word processing application from Microsoft, used to create, edit, format, save and print documents such as letters, reports and resumes.

Four tools:

  1. Spelling & Grammar: checks the text for spelling and grammar mistakes and suggests corrections.
  2. Find and Replace: searches for a word or phrase in the document and replaces it with another one, everywhere or one at a time.
  3. Table: inserts rows and columns to present information in an organised form.
  4. Mail Merge: produces many personalised copies of a letter by combining a main document with a data source of names and addresses.

Other tools include Bold/Italic/Underline, Bullets and Numbering, and Header and Footer.
